It’s a new way to give teams outside your department controlled visibility into your sample inventory, without compromising ownership or workflow control. These roles don’t allow edits, send-outs or check-ins. They’re designed purely for visibility, so your samples stay in safe hands.

There are three access levels you can assign users and departments:

  • View Inventory: Users can browse all sample details (including attachments and location), but can’t take any action.
  • View Availability: Adds visibility into when samples are reserved or due back, helping teams plan ahead.
  • View Out To Details: Gives a complete picture including shipping details and recipient contacts to help teams track sample movement with full context.

For certain people that have access to multiple departments, their roles are automatically merged. This means they won’t lose visibility just because their responsibilities span teams. Instead of chasing updates or switching accounts, they can get a single, complete view of the samples they need to track. This is especially useful for global teams, PR leads covering multiple markets and anyone managing cross-functional campaigns with tight timelines.

An Influencer Marketing Manager for a fashion brand is planning a seeded unboxing for a top-tier influencer, timed to go live the same week as a new campaign. The key sample—a statement piece from the upcoming collection—was used in a recent ecomm shoot and the manager needs to know if it’ll be back in time. With View Availability access, he sees that the piece is due to return two days before his planned shipment.

Rather than guessing or sourcing a duplicate, they reserve the original item the moment it’s available, so the influencer receives the sample piece just in time. With one sample timed perfectly between two placements, it stops any delays and ramps up visibility so the campaign lands as planned.

2. The PR Assistant Who Gets Ahead of the Ask

Access Level: View Out To Details 

Supporting multiple markets, a PR coordinator in Singapore needs to prepare for an upcoming editorial shoot. A key product is already on loan to the Australia PR team, but thanks to View Out To Details access, she can see who has it, where it is and when it’s coming back. Access Level: Merged Access Roles (dept-level + user-level)
